		<description>Informative article Zoe. At YMCA Victoria we have recently introduced iPads for Directors and have had great success in ensuring Board engagement, access to information. Our processes supporting the implementation included, training, compulsory security setting for Personal and Office iPads, and added security settings associated with annotations and device tracking to assist in recovering lost or stolen iPads. We also inducted the Board in the usage policy associated with the devices. The key to using iPads successfully is to ensure the system is set up securely.</description>

The key appears to be a well managed secure document repository, maintained by staff,  which allow documents to be annotated and tracked by the board members. There must  be a single app used by all to access the documents. There must be no transfer of confidential documents by personal unsecured email.

Our company supports BoardEffect subscribers in Australia, and the latest version of their ipad app deals with just the issues which Zoe has raised. We really discourage using email and document sharing sites for distributing board papers because of the high risks to confidentiality. Keeping Board documents, discussions and decisions behind a secure portal provides for a higher duty of care for electronic document management.
And from our experience, the ipad is a game changer. Its everywhere.. on the beach, on buses, in meetings, and in Board rooms.. Banning it is short-sighted. Managing it, as Zoe says, is better governance practice.</description>
