Delegate Terms & Conditions

By registering for and attending the Better Boards Conference all delegates understand and agree to the following terms and conditions:

Definitions

Better Boards Conference or Conference is a curated series of presentations delivered to ticket holders (Delegates) digitally and/or in-person at a pre-determined time, date, locale and/or URL.

Organiser, Better Boards Australasia P/L (“Better Boards Australasia”, “Better Boards”) is the owner and organiser of the Better Boards Conference.

Delegates or Delegate is a person identified by name, email address or other specific information during ticket purchase, who is a named holder of a purchased registration to the Better Boards Conference.

Registration is a Conference ticket described as an “Earlybird”, “Standard”, “BoardWise member” or “Corporate” ticket. It gives the holder access to the digital broadcast of the Conference ONLINE and the recorded presentations in the post-event portal for one month following the live event.

In-person Ticket is a ticket component (purchased in addition to a Registration) that permits a Delegate to attend the Conference in-person. It may be offered at the discretion of the Organiser for purchase by Delegates who already hold a Registration. It also permits the holder to attend the Networking Function and access all catering offered during the conference at the in-person venue.

General Provisions

Events operated under the title of the Better Boards Conference (“Conference”) may include but are not limited to: Pre-Conference Masterclasses, Board Member Innovation Tour, CEOs Summit, Leadership Networking Function, Better Boards Conference and Gala Dinner.

Better Boards Australasia reserves the right to change, amend or modify these terms and conditions at any time without prior notice. These terms and conditions will be governed by and construed in accordance with the laws of the state of Victoria, Australia and the parties submit to the jurisdiction of the courts of that State.

Better Boards is a registered trademark of Better Boards Australasia.

At the time of registration, the delegate and/or their agent (person or persons making the registration on behalf of a delegate or multiple delegates) represent and warrant to Better Boards that they are of full legal age and capacity and can enter themselves and all other delegates listed on their registration into a binding contract with Better Boards.

The person or agent who registers another delegate/s on their behalf represents and warrants that the person or agent has full permission and authority from the aforementioned to legally bind them.

The person or agent who registers themselves and/or other delegates on behalf of an organisation or other business entity, represents and warrants that the person or agent has full authority to legally bind that organisation or entity.

Payment

All Conference ticket rates are in Australian Dollars (AUD) and inclusive of 10% GST.

All payments should be made to “Better Boards Australasia”.

For payments made by credit card, “Better Boards” will appear on your statement.

All registrations will be provided with a Tax Receipt.

Tax Invoices can be provided on request prior to payment; however, bookings are not guaranteed until full payment is received as cleared funds into Better Boards’ nominated bank account.

Full payment of registration fees must be received prior to the Conference (or before the relevant cut-off date for Super Earlybird and/or Earlybird discounts). Delegates with an outstanding amount owing on their registration may be refused entry to the Conference if the event is full, or be asked to pay the full fee ‘Corporate’ registration to gain entry.

Payment terms are strictly seven (7) days.

Registration

Earlybird registrations must be received by 5pm AEST on Friday 28 March 2024.

Payment for Earlybird registrations must be received in cleared funds before 5pm AEST on Friday 28 March 2024 to receive the Earlybird discount, otherwise the applicable Standard registration fee will be charged.

Registrations are limited and will be allocated on a strictly ‘first in’ payment basis. In the event that all tickets are sold, you will be notified as soon as possible if attempting to register. If you do not receive a confirmation email upon submitting your registration, please email (info [at] betterboards.net) or call Better Boards Australasia on +61 3 5429 3786 to confirm that your registration has been received.

To be eligible for the “not-for-profit organisation” ticket rate, the delegate or organisation registering must be able to demonstrate to Better Boards Australasia that their organisation is legally classified as a Not-for-Profit, Charity or Association. Even if Not-for-Profit status can be established, Better Boards Australasia reserves the right to, at its sole discretion, deem a delegate or organisation ineligible for the “not-for-profit organisation” rate.

In the event that a delegate or organisation is deemed to be ineligible for the “not-for-profit organisation” rate, they will be required to pay the full “Corporate” rate or the difference between the “Corporate” rate and monies already paid.

Conference tickets and passes are non-transferable unless prior written permission has been granted by the Conference organisers.

Registrations/tickets cannot be shared or split between multiple people. Single day registrations/tickets are not available.

At any time during the conference, attendees may be requested to verify their identity (For example by producing photo identification or responding to an email verification request.) If an attendee cannot verify their identity upon request of Better Boards Australasia or its agents then the attendee may be asked to leave the event.

It is a condition of entry to the event locale that all delegates comply with any health and safety measures required by the New South Wales government and the Venue including those given by Venue staff on the day, and Delegates must sign in and display their delegate pass at all times during the Conference if attending in-person.

Better Boards Australasia reserves the right to reject a registration or to terminate a confirmed/paid registration at any time without reason. Confirmed/paid registrations terminated or rejected by Better Boards will be refunded, there may be an administrative fee charged as part of the aforementioned termination.

If attending in-person Delegates are responsible for notifying Better Boards of any special dietary or access requirements prior to 30 May 2024.

While every effort will be made to cater for special dietary or access requirements notified prior to the aforementioned date, Better Boards cannot guarantee that all special dietary or access requirements will be met as some requirements may be beyond the capacity of Better Boards or its agents to meet within the given timeframe.

IN-PERSON TICKETS

The Organiser may offer In-person tickets for purchase if it believes conditions and regulations are favourable for delegates to meet in-person at the time of the event.

In the event that In-person tickets are offered, the quantity will be strictly limited and if restricted the number available may be published on the conference website.

In-person tickets will be offered in the first instance to Delegates who have a Registration for the Better Boards Conference 2024. In-person tickets can only be purchased in addition to a conference Registration. This guarantees the ticket holder access to view the presentations online and recordings post event. An In-person ticket is not confirmed until funds are received. In-person tickets will be available on a first come first served basis.

The in-person ticket component also permits the holder to attend the Networking Function and access all catering offered during the conference at the in-person venue.

Cancellation, Refunds & Substitutions

A ‘registration’ is the online access component of the ticket and guarantees access to view the presentations online and recordings post event. It is not refundable under any circumstances.

In the event that it is not possible for the Conference to proceed with an in-person audience, the refund amount is limited to the In-person ticket component amount only.

Registrations (tickets granting access to the online broadcast and recordings post event) are not refundable.

Cancellations of any In-person tickets must be made in writing to Better Boards prior to 5pm AEST 2 May 2024. The in-person ticket cost will be refunded. After this date, no refunds will be issued.

Cancellation fees may apply whether or not payment is received at the time of registration.

No refunds will be issued for non-attendance.

Refunds will be issued via electronic funds transfer (EFT), after the Conference has concluded.

Substitutions may be made if agreed to in writing by Better Boards.

In the event that a delegate is unable to attend for any reason, they may request to send a substitute in their place.

  • Substitutions must be requested in writing to Better Boards Australasia prior to 7 June 2024 and a processing fee may apply.
  • Better Boards must be notified of all substitutions

In the event that a delegate with an In-person ticket is unable to attend in-person:

  • they must notify Better Boards in writing by 1 May 2024 and
  • may then transfer their In-person ticket to another person with a Better Boards Conference Registration or
  • transfer both the In-person ticket and Better Boards Conference Registration to another person
  • forfeit the In-person ticket price.

Better Boards may in exceptional circumstances and at its sole discretion issue a credit for a cancellation. Credits received for cancellations may only be used to attend another Better Boards event or to purchase another Better Boards product that is mutually agreed with Better Boards. Use of the credit must occur within 12 months from the date Better Boards was notified of the cancellation.

Better Boards is not responsible for any loss or damage as a result of a substitution, alteration or cancellation/postponement of an event or part thereof.

Due to strict visa requirements, Registrations and presentations from the countries listed below will not be confirmed, even if payment is received, until the applicant has obtained the relevant visa. Benin, Burkina Faso, Cape Verde, Cóte d’Ivoire, Gambia, Ghana, Guinea, Guinea-Bissau, Liberia, Mali, Niger, Nigeria, Senegal, Sierra Leone, Togo, Cameroon, Kenya, Somalia, Iran, Pakistan, Algeria, Libya, Egypt.

Program

Better Boards reserves the right to make changes to or modify the program at any time as circumstances dictate. Every effort will be made to ensure a program of equivalent standard, content and value is provided.

Behaviour (See also ‘BBC Code of Conduct’)

The expected standard of conduct is outlined in the Better Boards Conference Code of Conduct and applies to delegates both in-person and online.

Better Boards reserves the right to prohibit entry of any person to the Conference, or eject any person from the Conference based on behaviour deemed inappropriate by Better Boards’ staff and/or its agents and others working under its authority.

Canvassing by delegates is strictly prohibited at the Conference. Promotional materials may not be distributed at the event/forum except by event sponsors or partners within the capacity of their specific agreement and those with a written agreement with Better Boards Australasia. Delegates violating this policy will be asked to leave the Conference.

Persons expelled from the event are not liable for a refund or compensation of any kind from Better Boards Australasia.

The use of mobile phones, tablets, laptops and other personal electronic devices is permitted, however, the use of camcorders, video cameras or photography cameras (professional, consumer, digital or manual) that are not incorporated into another electronic device such as a phone, tablet or laptop is strictly prohibited. Any Delegate found to be recording entire presentations may be expelled from the event.

Privacy

Better Boards support the Australian Privacy Principles contained in the Privacy Amendment (Enhancing Privacy Protection) Act 2012, as amended. Better Boards collects and stores your personal information for the purposes of delivering, improving and promoting our products and services to you in various ways. Better Boards may, at its sole discretion, distribute a delegate list at the Conference. Any delegate list will only include the registrants’ supplied name, position and organisation.

All registered delegates will have their email address (as supplied) added to Better Boards’ e-newsletter subscription lists. Please provide written advice to info [at] betterboards.net should you not wish to have your name and organisation’s name included in the delegate list, and/or do not wish your details to be provided to Conference sponsors, or wish to opt out of the e-newsletter subscription list.

Image Release

By attending the Conference delegates automatically grant Better Boards Australasia, its directors, executives, officers, employees, partners, licensees, agents, affiliates and others working under its authority, the rights including, but not limited to, all copyrights, in whole or part, throughout the universe, in perpetuity to make, reproduce, use and show, from time to time at their absolute discretion, in any medium now known or hereafter developed, and to license others to so use them in any manner Better Boards may determine in its sole discretion, without any obligation to the delegate any photograph, sound recording, motion pictures and other reproductions of the delegate captured or produced during the Conference without compensation.

Delegates consent to the use of their name or likeness in connection with the exhibition, distribution, merchandising, advertising, exploiting and/or publicising of Images or Better Boards and its products and services. Delegates release and discharge Better Boards Australasia, its executives, officers, employees, partners, licensees, agents, affiliates and others working under its authority from any and all claims, actions, suits or demands of any kind or nature whatsoever, in connection with the use of Images and the reproduction thereof as aforesaid.

Delegates waive any right they may have to inspect and/or approve the use of the Images or any reproductions thereof, by Better Boards Australasia.

Liability & Insurance

Better Boards does not assume any liability for any statements, advice or omissions made or given by Conference speakers and does not assume liability for any actions taken based on speaker statements or advice. All statements of advice made by speakers during the course of the Conference are solely educational in nature and should not be relied upon as professional advice.

All opinions, comments and materials at the Conference are general in nature. They do not constitute legal, accounting, taxation, financial or any other type of professional advice, and must not be relied upon as such. Opinions and advice given are the speaker’s own, and not necessarily those of Better Boards Australasia.

Delegates and/or their organisation should seek direct professional or legal advice in relation to a specific situation or scenario before considering or utilising any part of the Conference content to that situation or scenario. Better Boards Australasia shall not be liable to the delegate or their organisation for any use to which they may put the content, including, but not limited to, any loss or damage of any kind incurred in connection with use of or exposure to any content made available during the Conference.

Notwithstanding the foregoing, the extent of any liability of Better Boards Australasia its directors, employees and agents, its suppliers, or their respective, directors, employees, or agents shall be limited to the total registration fee paid by a delegate or their representative for the Conference.

Better Boards recommends contacting the individual speakers for further information on their statement, comments, opinions or materials prior to making decisions based on the aforementioned.

Each Delegate is wholly responsible for any travel or accommodation bookings or arrangements they may make to attend the Better Boards Conference. Better Boards Australasia is not liable for non-attendance of any delegate for any reason including travel disruption and/or government legislation or mandates.

Ticket registration fees do not include insurance of any kind. Better Boards recommends that you obtain your own general travel insurance. It is suggested that the insurance policy should also cover loss of fees or deposits, airfares, accommodation charges, registration costs, medical expenses, loss or damage to personal property while attending the Better Boards Conference. The insurance should cover loss arising from the cancellation of the Conference by the organisers or your inability to attend due to any reason whatsoever. No responsibility is taken by the Conference organisers for any person not holding insurance.

Delegates register for and attend the Conference at their own risk. Delegates and their respective organisations agree not to hold Better Boards Australasia, its suppliers or partners liable for any losses, damages, expenses, costs, claims or liabilities suffered or incurred by registrants/delegates including consequential or indirect losses or loss of profit through registering for the Conference, attending the Conference, inability of the delegate to attend the conference, cancellation of the Conference for any reason, action taken based on information provided at the Conference, failure of the Conference to achieve your expectations, or for any error or omission by Better Boards, its executives, staff, suppliers, partners, sponsors or speakers.

Registrants agree not to hold Better Boards Australasia, its executives, staff, suppliers or partners liable or responsible for any personal injury (i.e. physical, psychological or emotional stress) or any loss or damage to personal property.

Force Majeure

Better Boards Australasia shall assume no liability whatsoever in the event the Conference is cancelled, rescheduled or postponed due to a fortuitous event, Act of God, unforeseen occurrence or any other event that renders performance of this Conference impracticable, illegal or impossible. For purposes of this clause, a fortuitous event shall include, but not be limited to: war, fire, labour strike, protests or public demonstrations, extreme weather, government enforced restrictions, pandemic or other emergency.
